As we continue to expand, we are seeking a proactive and highly organized Virtual Assistant to support our executive and management teams in streamlining operations, managing communications, and enhancing productivity across departments.
Position SummaryThe Virtual Assistant will provide comprehensive administrative, operational, and coordination support to ensure the smooth execution of GSR Groupâs daily business activities. The ideal candidate will be detail-oriented, tech-savvy, and capable of working independently while maintaining excellent communication with team members and executives.
Key ResponsibilitiesManage executive calendars, appointments, and meeting schedules.
Coordinate internal and external meetings, including agenda preparation and follow-ups.
Handle professional correspondence, draft communications, and prioritize tasks.
Maintain organized and efficient digital filing systems and company documentation.
Assist with project tracking, ensuring deadlines and deliverables are met.
Support onboarding of new clients, team members, and vendors.
Maintain and update company databases, spreadsheets, and CRM systems.
Coordinate logistics for events, travel, and special projects as required.
Serve as a professional liaison between executives, clients, and internal teams.
Respond promptly to inquiries and provide updates or follow-ups when needed.
Prepare and edit presentations, proposals, and management reports.
Assist with invoice tracking, expense reporting, and record keeping.
Support basic budget monitoring and procurement processes.
Conduct market research and compile insights to support strategic decision-making.
Manage productivity and collaboration tools (Google Workspace, Microsoft 365, Asana, Trello, etc.).
Coordinate basic website or social media updates as directed.
Identify opportunities to streamline administrative systems and enhance efficiency.
Required:
Minimum of 1+ years of experience as a Virtual Assistant, Executive Assistant, or similar role.
Excellent written and verbal communication skills.
Exceptional organizational and multitasking abilities.
High proficiency with modern office software and remote collaboration tools.
Strong attention to detail and commitment to confidentiality.
Self-motivated with the ability to work independently under minimal supervision.
Preferred:
Bachelorâs degree in Business Administration or related field.
Experience supporting executive or leadership teams in a corporate or consulting environment.
Familiarity with CRM platforms (HubSpot, Salesforce, etc.).
Basic bookkeeping or reporting experience.
