Position Summary:

The Event Travel and Fleet Manager is responsible for planning and coordinating transportation logistics as well as manage the logistics for events, conferences, meetings, and other gatherings. This role is crucial in ensuring that attendees, participants, and staff can move efficiently and safely to and from the event venue. The Event Travel and Fleet Manager will provide superior customer service and support to a wide range of internal and external customers including consultants and surgeon clients. The job requires the individual to be an extremely organized team player with the ability to function well in a challenging and fast paced environment. This individual will work closely with a wide variety of departments to ensure a superior customer or learner experience delivered with operational excellence and efficiency.

Essential Functions:

  • Manages the Globus transportation schedule
  • Determines the best transportation options based on budget, accessibility, and environmental considerations
  • Identifies and contracts with transportation providers, such as bus companies, taxi services, or car rental agencies
  • Negotiates pricing and terms with transportation vendors
  • Oversees the performance of transportation vendors during the event to ensure they meet agreed-upon standards
  • Oversees in-house driver schedules
  • Confirms company vehicles are serviced regularly
  • Ensures that transportation services run smoothly and on time
  • Develops contingency plans for transportation in case of unexpected delays, traffic, or emergencies
  • Communicates transportation details and updates to travelers
  • Utilizes transportation management software and tools to streamline logistics and monitor real-time transportation data
  • Arranges and approves travel reservations (air, hotel, and ground transportation) for customers, consultants, executives and employees (both domestically and internationally)
  • Ensures compliance with company policies in all aspects of travel processes
  • Proactively manages communications of travel arrangements and/or options with all related parties
  • Provides onsite travel support for all participants as needed
  • Adheres to the letter and spirit of the company Code of Conduct, the AdvaMed Code, MedTech Code, and all other company policies
  • Ensures compliance with applicable governmental laws, rules, and regulations, both in the United States and internationally, by completing introductory and annual training and maintaining knowledge of compliance as it applies to your role
  • Represents the company in a professional manner and upholding the highest standards of ethical business practices and socially responsible conduct in all interactions with other employees, customers, suppliers, and other third parties of Globus

Qualifications:

  • Bachelor's degree or equivalent industry experience, especially in working directly with medical professionals.
  • Preferred experience in booking travel, preferably as a Travel Agent or Fleet Manager.
  • Familiarity with web-based booking engines, travel industry technology, and international travel regulations is a plus.
  • 2-3 years of full-time work experience is preferred.
  • Proficiency in Microsoft Office Suite, particularly Excel, Outlook, and Windows.
  • Strong interpersonal skills, with the ability to excel in both team and independent work settings.
  • Excellent oral and written communication skills.
  • Exceptional organizational and detail-oriented skills, along with the ability to multitask effectively in a dynamic environment.
  • General working knowledge of U.S. and global geography.
  • Willingness and requirement to participate in clinical/surgical settings, including cadaveric training labs.
  • Advanced critical thinking and problem-solving abilities.
  • Ability to travel up to 10% of the time.
