Office Assistant and Schedule Coordinator Location Richland, WA :

Job Summary:

We are seeking a dedicated and versatile Office Assitant to oversee daily operations, coordinate scheduling, and assist with marketing efforts. This role is essential to maintaining the smooth functioning of our office while ensuring client satisfaction and team support.

Key Responsibilities:

Office Management:

  • Oversee day-to-day administrative operations of the office.
  • Maintain organized and accurate records for clients, staff, and business operations.
  • Ensure compliance with company policies, procedures, and applicable regulations.
  • Manage office and client supply inventory and place orders as needed.
  • Ensure office equipment are maintained and functioning. Including cleanliness and organization.

Scheduling:

  • Coordinate and manage staff schedules to ensure adequate coverage for all clients.
  • Communicate scheduling changes promptly to staff and clients.
  • Handle scheduling conflicts, call-offs, and last-minute changes efficiently.
  • Track employee attendance and report staffing concerns.
  • Manage calendars and schedule meetings as needed.

Marketing Assistance:

  • Develop, plan, and execute social media marketing strategies to promote the business and its services.
  • Create engaging content, including posts, graphics, and videos for platforms such as Facebook and Instagram.
  • Monitor social media channels, respond to comments, and engage with the audience.
  • Assist in company events, such as employee appreciation days, client birthdays, and community outreach.

Call Support After Hours:

  • Provide call support for after-hours for scheduling call offs or emergency situations. Monday-Friday.
  • Occasional Weekends

Client and Staff Support:

  • Serve as the primary point of contact for client inquiries and concerns.
  • Support staff with training, onboarding, and professional development needs.
  • Foster a positive and collaborative work environment.

Qualifications:

  • Proven experience in office management, scheduling, or administrative roles.
  • Familiarity with social media marketing tools and techniques.
  • Ability to multi-task and adapt to changing priorities in a fast-paced environment.
  • Excellent interpersonal and communication skills.
  • Proficiency with scheduling software, office applications, and social media platforms.
  • Experience in home care or healthcare settings is a plus.
  • Flexibility to work after hours as needed for scheduling or emergencies call duties.
  • HCA or CNA certification (not required)

Requirements:

  • High school diploma or equivalent
  • Valid driver's license and reliable transportation.
  • Ability to lift up to 25 lbs.
