Job Description

System One has partnered with and Oil and Gas company that is in search of a Mail Clerk. The Mail Clerk needs to be meticulous and reliable contractor to aid in the management of returned customer communications. In this position, you will be responsible for physically sorting and reviewing significant amounts of returned mail, updating customer information within a spreadsheet, and verifying data using our internal customer system. The role may also require making occasional outbound calls to customers for address confirmation. The ideal candidate will be organized, quick to adapt, able to handle repetitive tasks effectively, and possess experience in basic data entry and customer interaction. Primary Duties Organize and assess substantial volumes of returned mail from customers. Physically manage, stack, and lift mail trays as necessary. Categorize mail types and update relevant details in tracking spreadsheets. Investigate and confirm customer accounts using our internal database. Revise spreadsheets with updated address and contact information sourced from the database. Reach out to customers for verification or updates on their contact information when required. Ensure precision and focus in all data entry and updates of customer records. Operate independently to achieve daily and weekly targets for processing. Essential Qualifications High school diploma or equivalent. Previous experience in an administrative, mailroom, or clerical setting. Comfortable working autonomously in a structured, process-oriented environment. Skills and Experience Exceptional attention to detail and the ability to maintain accuracy on repetitive tasks. Proficient in data entry with some experience using basic spreadsheet software (Excel or Google Sheets). Familiarity with standard mailing address formats and protocols. Experience with Customer Information Systems (CIS) or CRM software. Strong organizational skills with good time management capabilities. Effective communication skills, with fluency in English; knowledge of Spanish is a bonus. Previous customer-facing or sales support experience, with the ability to confidently and professionally present service options. Comfortable helping customers access digital solutions, such as enrolling in electronic statement delivery when applicable. Capacity to lift and shift mail trays as part of daily responsibilities. Ability to remain composed under pressure and manage high volumes of information without feeling daunted. Physical Requirements Regularly engages in physical tasks such as lifting, bending, pushing, and pulling. Must be capable of safely lifting and carrying items up to 50 pounds without assistance. Requires the ability to bend, twist, squat, and kneel throughout the workday. Manual dexterity and physical stamina are essential for efficiently managing repetitive tasks.
